SPECIFIC DUTIES AND RESPONSIBILITIES:
1) Managing the upload of chargeback requests on a timely basis.
2) Verifying chargeback data submitted and getting into correct upload format.
3) Checking and fixing any upload data errors.
4) Checking & understanding order, quote, and invoice information in Oracle (when processing requests).
5) Processing chargeback requests in accordance to PTS policies.
6) Understanding quote and SPA pricing concepts and how they affect chargebacks.
7) Communicating to the customer with chargeback questions and processed chargeback details.
8) Submitting a monthly Chargeback Report to management.
9) Track and analyze monthly chargeback trends of all customers
10) Assemble identified trends and create/distribute monthly report
11) Create monthly forecast of chargeback activity and distribute to Finance & Marketing teams to aid in accurate financial accrual and SIOP forecasting in Demantra
12) Create quarterly activity report (Excel data graphs/PowerPoint) of chargeback activity for all major distribution partners
13) Facilitate quarterly conference calls with PTS Pricing leadership to discuss quarterly activity
14) Create and maintain repository of chargeback statistics and trends
15) Create PowerPoint template and prepare annual chargeback summary for each major distributor and present to PTS Sales and Pricing leadership. Summary will include total value processed, monthly financial bridge, 80/20 part analysis and activity by part trends.
16) Maintain list of funnel projects/ideas for transactional efficiency improvement and discuss priority/results with manager monthly.
17) Co-develop next generation processes and procedures (Standard Work) for chargeback processing and reporting
18) Investigates and implements new ways, and recommends new tools, to improve chargeback efficiencies.
19) Monitor contract requirements to ensure customer and PTS remain in compliance with contract terms and conditions.
QUALIFICATIONS/SKILLS REQUIRED:
• College degree holder
• Experience as a Chargeback Coordinator I or has background in contract or chargeback processing for at least 2 years is preferred.
• Explores and advances opportunities to develop new solutions and approaches to the improvement of processes and services.
• Positive, Customer-oriented attitude.
• Strong organizational skills with excellent attention to detail.
• Ability to access, interpret and use all computer service programs including Oracle, Access, etc. BI knowledge a plus.
• Advanced usage of Oracle and Excel.
• Effective communications skills. Ability to write and analyze reports, business correspondence and procedure manuals.
